  • An Intercom account (any plan)
  • Admin access to your Intercom workspace
  • An Orbit AI account with at least one form

Choose Your Setup Method

You can sync form submissions to Intercom in two ways. Choose based on your needs:

Integration Page

Connect Intercom via OAuth and configure field mappings from your Integrations page.Best for:
  • Quick OAuth setup
  • Simple 1:1 form-to-Intercom mapping
  • Syncing all submissions without filtering

Workflows

Add Intercom as a destination in your workflows for advanced control over which leads sync.Best for:
  • Filtering by lead score or qualification
  • Enriching data before syncing
  • Combining with AI Agent qualification

Integration Page vs. Workflows: Which Should You Use?

Integration Page — Use the Integration page when you want to send all form submissions directly to Intercom.
  • Simple form-to-CRM mapping
  • No need for lead qualification
  • Fastest setup for basic sync
Workflows — Use Workflows when you need filtering, enrichment, or AI qualification before syncing.
  • Filter by lead score
  • Enrich leads before syncing
  • Use AI Agent to qualify first

Integration Page Setup

Connect Intercom to Orbit AI via OAuth and configure which forms sync to your workspace.

Step 1: Connect Your Intercom Workspace

1

Go to Integrations in Orbit AI

From your dashboard, click “Integrations” in the left sidebar.
2

Find Intercom

Scroll down or search for “Intercom” in the integrations list.
3

Click Connect

Click the “Connect” button on the Intercom card. You’ll be redirected to Intercom.
4

Authorize Orbit AI

Sign in to Intercom if needed, then click “Authorize” to grant Orbit AI access.
5

Return to Orbit AI

You’ll be redirected back to Orbit AI. You should see “Connected” on the Intercom card.
Security note: Orbit AI uses OAuth and never stores your Intercom password. You can revoke access at any time from your Intercom app settings.

Step 2: Choose Contact Type

Select whether form submissions should create Leads or Users in Intercom:

Lead

For visitors who haven’t signed up yet. Best for contact forms, demo requests, and landing pages.

User

For signed up customers. Best for feedback forms, support requests, and in-app surveys.

Step 3: Configure Field Mappings

1

Go to the Field Mapping tab

After connecting, click the “Field Mapping” tab in the Intercom configuration panel.
2

Select a form to configure

You’ll see a list of your forms. Click on the form you want to sync to Intercom.
3

Map your form fields

For each form field, select the corresponding Intercom attribute from the dropdown.
4

Save Configuration

Click “Save Configuration” to save your mappings. The form will now sync to Intercom.

Field Mapping Reference

Standard fields are mapped automatically. You can also map to custom attributes.
Form FieldIntercom Attribute
emailemail
name / full_namename
phonephone
companycustom_attributes.company_name
job_titlecustom_attributes.job_title
Custom Attributes — If you map a form field to a custom attribute that doesn’t exist, Orbit AI will create it in Intercom automatically. This is perfect for capturing industry-specific data from your forms.

Additional Settings

Auto-Tagging

Enter a tag name (e.g., “form-submission”) to automatically tag all contacts created from forms. Great for filtering and targeting in campaigns.

Activity Notes

Enable to create branded notes on contact records showing full form submission details. Your team can see exactly what the contact submitted.

Duplicate Handling

Choose what happens when a contact with the same email exists: Update (merge new data), Skip (don’t modify), or Create New (always create).

Using Intercom with Workflows

For advanced automation, add Intercom as a destination in your workflows. This gives you more control over which submissions get sent.

Use workflows when you need to:

  • Only sync to Intercom after AI qualifies the lead
  • Add enriched data from Clay before creating contacts
  • Route to different contact types based on form answers
  • Sync to multiple destinations (Intercom + HubSpot)

Troubleshooting

Do I need a specific Intercom plan? — No, the integration works with all Intercom plans. You just need admin access to authorize the connection.
What happens to existing contacts? — By default, Orbit AI will update existing contacts with new data. You can change this to skip duplicates or always create new records.
Can I create custom attributes automatically? — Yes! If you map a form field to a custom attribute that doesn’t exist, Orbit AI will create it in Intercom for you.
Are Intercom tokens secure? — Yes, all tokens are encrypted at rest using AES-256 encryption. Orbit AI uses OAuth and never sees your Intercom password.
