# Fireflies

> Attach Fireflies call transcripts and summaries to meetings, with AI notes and action items

[Visit Fireflies](https://fireflies.ai)

Connect Fireflies and every recorded call lands on the Orbit meeting it belongs to, with its transcript, Fireflies' own summary and action items. From there Orbit can write **AI notes**: a short summary, key points and action items you can turn into tasks.

## Connect

You need to be a workspace admin.

1. In Fireflies, open **Integrations → Fireflies API** and copy your API key.
2. In Orbit, open **Settings → Integrations → Fireflies**, paste the key and click **Connect Fireflies**.
3. Orbit checks the key, stores it encrypted, and brings in the last 14 days of recordings.

Fireflies has no API for registering webhooks, so after connecting, the settings page shows a **Webhook URL** and a **Signing secret**. In Fireflies open **Integrations → Webhooks**, add a webhook with that URL, choose the **Meeting transcribed** and **Meeting summarized** events, and paste the signing secret. The settings page shows when the first recording arrives. Fireflies' Free and Pro plans allow few API calls a day, so a sync reads at most 25 new meetings at a time.

## How recordings are matched

A recording is attached to a meeting when one of the meeting's attendees (the person who booked it, or a guest) was on the call and the call overlaps the booked time, give or take 30 minutes. Cancelled meetings are never matched. Many sales calls aren't booked through Orbit: a recording that matches no meeting but whose attendee is one of your contacts shows on that contact's timeline as **Call notes from Fireflies**, with the same AI notes and action items. Every recording, matched or not, is listed under **Latest recordings** on the settings page.

## Where it shows

* **Meetings and the contact page**: open a meeting to see **Call notes**, with the AI notes, Fireflies' summary and the full transcript.
* **Contact, company and deal timelines**: a meeting with a recording shows its summary and the number of action items; **View notes** opens them in place.
* **Record summaries**: the AI summary of a contact, company or deal reads the meeting's notes.
* **API and MCP**: `GET /api/v1/meetings/{id}` (and the `get_meeting` tool) return the recordings; `POST /api/v1/meetings/{id}/notes` (and `summarize_meeting`) return the AI notes.

## AI notes and tasks

Click **Write AI notes** on a meeting's call notes. Each set of notes uses 1 AI credit; opening them again is free. Under **Action items**, **Task** creates one task (or **Create all** for every item), assigned to the meeting's host unless you pick someone else, linked to the meeting's contact, and due on the date said in the call when one was.

To have notes written as soon as a recording arrives, turn on **Write AI notes automatically** on the settings page. It applies to recordings that match one of your meetings or contacts, and each uses 1 AI credit.

## Privacy

A privacy deletion request for a person (for example from HubSpot's GDPR delete) erases their recordings in your workspace, with transcripts and AI notes: those linked to their contact, those on their meetings, and those that list them as an attendee. Permanently deleting a contact in Orbit keeps the recordings of its meetings.

## Disconnect

**Disconnect** on the settings page stops new recordings and deletes the stored API key. Recordings and AI notes already on your meetings stay.
