# Templates, snippets and signatures

> Write faster in the composer and Inbox: templates with merge fields, snippets you insert with a slash, your signature, attachments and send later.

The email composer on a contact's **Email** tab and the reply box in the **Inbox** share the same tools. Manage templates and snippets under **Settings > Email templates**, and your signature under **Settings > Email & SMS**.

## Templates

A template is a whole email: a subject and a body. Click **Templates** in the composer's toolbar to pick one. The preview shows it filled in for the person you are writing to, and marks any field they have no value for, so you can fix it before you send.

* Inserting a template replaces the draft. In a reply, the reply keeps its own subject.
* In a sequence step, **Use template** copies the template's subject and body into the step. Later changes to the template don't change the step.

Templates are **personal** (only you) or **shared** with everyone in the workspace. Editors and admins create and change shared ones; viewers can use them.

## Snippets

A snippet is a short block you type often: a pricing paragraph, your calendar link, a sign-off. Type `/` at the start of a word in the email and keep typing to filter; press <kbd>Enter</kbd> or <kbd>Tab</kbd> to insert, <kbd>Esc</kbd> to close. You never leave the keyboard. The lightning button in the toolbar lists them too, with a search.

## Merge fields

Merge fields fill in for each recipient when the email is sent: `{{ contact.first_name }}`, `{{ company.name }}`, `{{ deal.stage }}`, `{{ sender.meeting_link }}` and the rest (the full list is in the [API reference](https://docs.orbitforms.ai/developers/api/email-templates.md#merge-fields)). Insert one with the `</>` button, or type it.

* **Fallback:** `{{ contact.first_name | there }}` writes "there" when the contact has no first name.
* **No value, no fallback:** the field is left blank. The composer warns you first and names the recipients it affects, with a **Preview** of the email as each of them will get it.
* **Not a merge field** (a typo like `{{ contact.frist_name }}`): it is underlined in red, and the email can't be sent until you fix it. Orbit never sends `{{ … }}` as typed. Sequences can't be activated with one either.

Sequences use the same fields, so a template works the same in a one-to-one email and in a sequence step. Older sequences written with bare names like `{{first_name}}` or `{{company}}` keep working: they fill in like `{{ contact.first_name }}` and `{{ contact.company }}`.

## Your signature

Write your signature under **Settings > Email & SMS > Signature**, with a live preview. It goes below emails and Inbox replies you send from Orbit; the **Signature** switch under the editor leaves it off one email. Choose whether new emails start with it on.

Sequences add the sending person's signature when **Add sender signature** is on in the sequence's settings (it starts off).

## Attachments

Click the paperclip (**Attach**) or drop files on the composer. Each email can carry up to 10 files, 10 MB each and 15 MB in all (the email provider's limit is 25 MB for the whole message, and attachments grow by a third when they are sent). Documents, images, archives, audio and video are accepted; programs, scripts and web pages are not. Images dropped inside the text go in the email body instead.

Sent files appear on the email in the contact's timeline and Email tab, where anyone who can see the email can download them. Files you attach but never send are removed after a day; you can have up to 50 (200 MB) waiting in drafts at once.

## Send later

Open the arrow next to **Send email** to schedule it: tomorrow morning, Monday morning, or a date and time you pick, in your own time zone.

* A scheduled email shows on the contact's timeline, Email tab and in your Inbox with when it will go. **Send now** sends it right away; **Cancel** calls it off. Admins can do both for anyone's.
* Just before it goes, Orbit checks again that the person can still be emailed. If they unsubscribed, bounced, were blocked or deleted, or your workspace can no longer send, it is marked **Not sent** with the reason instead.
* Scheduled emails count toward your sending limits when they go, so many emails scheduled for the same minute go out over the following minutes. One that still can't go six hours after its time is marked **Not sent**.
